Information that you provide voluntarily

We may ask you to provide personal information voluntarily, for example: 

  • Prior to certain calls with our staff (customer-facing roles only) you will be asked whether you object to your call being video recorded and transcribed via third-party tools, such as Gong. 
  • Information that you provide by filling in forms on our websites, including www.itrsgroup.com, resources.itrsgroup.com, support.itrsgroup.com, and any subdomains of those websites. This includes information provided at the time of registering to use the client login area on our websites, subscribing to our service, and posting material or requesting further services.
  • If you contact us, we may keep a record of that correspondence.
  • To complete surveys that we use for product development and research purposes.

The personal information that you are asked to provide, and the reasons why you are asked to provide it, will be made clear to you at the applicable time.

Information processed automatically

  • Details of transactions you carry out when using our websites and of the fulfilment of your orders.
  • When you visit our websites, we may collect certain information automatically from your device.

Personal information that we may collect about you as part of the processing above includes:

  • Video recording including transcript (via third party recording tools referred to above);
  • IP address;

Where we store your personal information

The data that we collect from you may be transferred to, and stored at, a destination outside the European Economic Area ("EEA"). It may also be processed by staff operating outside the EEA who work for us or for one of our suppliers (for example in places such as Spain, United States of America, Canada, Hong Kong, Singapore and the Philippines). Such staff may be engaged in, among other things, the fulfillment of an order and the provision of support services. 

However, in the event of a transfer of your personal information outside of the EEA, we will take all appropriate steps and put in place appropriate technical and organizational measures to safeguard your personal information in accordance with this Privacy Notice and in accordance with all applicable law. 


We use appropriate technical and organisational measures to protect your personal information and consider privacy-by-design in all elements of handling your personal information.  The measures we use are designed to provide a level of security appropriate to the risk of processing your personal information. 

Specific measures we may include encrypting your personal information in-transit, encrypting at-rest, and implementing multi-factor authentication access control. Where we have given you (or where you have chosen) a password which enables you to access certain parts of our site, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal information, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. 

Data retention

We will only retain your personal information for so long as we continue to have a legal basis to do so for example, to provide you with a service you have requested or to comply with applicable legal, tax or accounting requirements.  

We will either delete or anonymise your personal information in accordance with our data retention policy, subject to personal information that may be stored in backup systems, which cannot be readily accessed for deletion purposes. In the event your personal information is kept beyond our standard retention period(s), then it will be securely stored and deleted (or anonymised) as soon as reasonably practicable.  


Our websites and products are not targeted to individuals under the age of 18, and we do not intentionally process any personal information of children under 18.

  • To object to processing of your personal information, ask us to restrict processing of your personal information or request portability of your personal information; 
  • To opt-out of marketing communications we send you at any time.  You can exercise this right by clicking on the “unsubscribe” or “opt-out” link in the marketing e-mails we send you;  
  • If we have collected and process your personal information on the legal basis of consent, then you can withdraw your consent at any time. Withdrawing your consent will not affect the lawfulness of any processing we conducted prior to your withdrawal; and
  • You have the right to complain to a data protection authority about our processing of your personal information. The applicable data protection authority in the United Kingdom is the Information Commissioners Office (the UK ICO).
